You have a few options when it comes to setting up a business email address for your company. You will need to decide which option is best for your needs.
Using A Personal Email Address (not recommended)
If you are just starting out with your own business then using an existing Gmail account may be the easiest way to go. However, if you already have a Gmail account and want to start using it for your business then creating a new Gmail account specifically to use for your business is probably the best choice.
If you choose to use a Gmail account as your business email address then there are some things you should know before you do so. First of all, you cannot send emails from any other email address than your Gmail account. This means that if someone sends you an email message asking you to reply back, they will not receive a response unless you reply from your Gmail account.
Secondly, you cannot forward messages to another person’s Gmail account. For example, if you wanted to give your boss access to your email account, you would need to add him/her as a contact in your Gmail account. Then you could forward his/her email messages to your main business email address.
Thirdly, you cannot delete your Gmail account. So if you ever lose control over your personal Gmail account, you will also lose control over your business email address.
Cons of using a personal email address
The biggest disadvantage of using a personal email account for your business is that it can be difficult to find when searching online. When people search for information about your business, they will usually only see results for your personal email address.
What Is A Business Email Address? (recommended)
A business email address is used by companies or individuals who run their own businesses. These types of accounts are often referred to as domain-based email addresses. They work like regular email addresses but instead of being sent to a single user’s inbox, they are sent to a specific mailbox on a server.
Business email addresses are generally more secure than personal email accounts because they require a password to log into them. In addition, most email services allow users to set up rules for how incoming mail is handled. For example, they can automatically filter certain types of messages such as spam.
Business email addresses are also useful for sending bulk email messages. Instead of having to create individual email addresses for each recipient, you can simply send one email message to a group of recipients at once.
What Are The Advantages Of A Business Email Address?
- Professional Email Addresses look more professional than Gmail or Hotmail addresses. It says you’re using the bare minimum resources to run your business.
- Easier to remember than a personal email address.
- Builds trust.
- Promotes brand for every email sent from a professional email address.
How To Create A Professional Email Address
Google Workspace
I recommend using Google Workspace (formerly known as Gsuite) for this purpose.
Google Workspace is reliable and easy to use and costs approximately £5 per month after the initial trial period, depending on how many users you have.
It’s reasonably easy to set up depending on technical experience – Google Workspace will walk you through the entire process, from verifying your domain name to adding the appropriate MX records in your domain name settings.
There are other platforms you can use as well such as Microsoft 365 and Zoho mail but most people usually opt for Google Workspace.
